Use statements to inform your customers of the status of their accounts.

The statements you can produce in ActivityHD fall into two categories:

  • Balance Forward. A balance forward statement shows a beginning balance as of a given date and detail of all invoices and receipts since that date. Balance forward statements always show the original amount of each invoice regardless of any partial payments credited to the account. Balance forward statements are appropriate for customers who pay toward the account balance rather than toward individual invoices. Receipts are applied to the oldest invoices first.
  • Open Item. An open item statement shows all outstanding charges on a customer's account, but does not show payments applied on the account. For partially paid invoices, you can print the original invoice amount and the remaining balance on the statement if your print format is set up to do that. Open item statements are appropriate for customers who pay for specific invoices rather than toward their account balance. For this reason, it is important to apply payments according to the instructions with the customer's payments.

Statement types determine which statement format is produced. A default statement type can be assigned to each customer, but ultimately the format depends on the statement type designated when statements are generated. The Generate Statements wizard includes the ability to limit the statements generated to the customers that are assigned the designated statement type.

Notes about summary invoices

The following observations apply only if you have the Summary Invoice interface enabled.

A summary invoice appears as a single invoice transaction on a statement, not as multiple invoices.

Summary invoices and unlinked transaction invoices can appear on the same statement.

Only locked summary invoices can be included on a statement. A locked summary invoice cannot be unlocked if it is included on a statement.

Statement preparation in ActivityHD is straightforward. First, you generate statements. Second, you print statements.

Balance Forward Totals

This section is visible only when you print balance forward statements.

Balance Forward. The total customer balance for all generated statements as of the end of the day before the specified period begin date.

Plus Invoices. The total invoice activity (charges and credits) with an invoice date within the specified period begin and end dates.

Less Payments. The total receipt activity (payments, discounts, adjustments) with a receipt date within the specified period begin and end dates.

Ending Balance. The total customer balance for all generated statements as of the end of the specified period end date. This total can be calculated from the totals mentioned above using this formula:

Ending Balance = Balance Forward + Invoices - Payments

Aging Category Totals

This section shows the aging category totals for the statements generated in the current process as well as the total for all aging categories. The aging category date ranges are specified on the Options tab of the wizard. For open item statements, the aging categories to include and minimums to report are specified on the Options tab of the wizard as well.

Statement Grand Totals

This section provides the following grand totals:

  • Total Due. The total balance for the selected aging categories that are considered current or past due. If you are creating open item statements and excluded one or more aging categories, this total only reflects the aging categories which were actually included. This total does not include "Not Yet Due" or "Outstanding Credit" amounts.
  • Total Past Due. The total balance for the selected aging categories that are considered past due. If you are creating open item statements and excluded one or more aging categories, this total only reflects the aging categories which were actually included.

Missing Statement Locations

This section lists any customers for which you created a statement that do not have a statement location assigned. Statements without a statement location cannot be printed. You assign statement locations on the customer record.

Common accesses available on statements

Access A user with this access can...
Change Use the mass change action on statements.
Custom Fields Create and edit custom fields for statements.
Data Have read-only access to statements from anywhere in the software (e.g., field validations, filters, date expressions).
Delete Delete statements.
Edit Edit statement records.
Export Export statement records from ActivityHD.
Read Have read-only access to statement records.
Report Run reports with statement information.
Report Designs Create and edit report designs with statement information. This access enables the Report Designs button on the Output tab of report dialogs.
Shared Answers Create and edit action profiles and report profiles related to statements.

Statement filters

The following built-in filters are available for AR statements:

Email Statements to Customers

From
The email account from which the statement email will be sent. This field defaults from the From field of the Email Defaults tab.
To
This field is disabled.
CC
The email address(es) to which the statement email will be copied. This field defaults from the CC field of the Email Defaults tab.
BCC
The email address(es) to which the statement email will be blind copied. This field defaults from the BCC field of the Email Defaults tab.
Subject
The subject of the email. This field defaults from the Subject field of the Email Defaults tab. You can use keywords to customize the content of the subject line of the email. Keywords are replaced in the resulting email with the corresponding information from the statements. Click here to see the keywords available for use when you customize an email for statements.
[Email body]
The body content of the email. This field defaults from the body field of the Email Defaults tab. You can use keywords to customize the content of the body of the email. Report Email dialog

From
The email account from which to send the email. Valid options are:
  • Windows user default account. Sends email using the user's Windows default email account. For most users, this is the account configured in Outlook or another email client application.
  • Server personal. Sends email using the email configuration for the system or company server and the email address on the current user's authorized user record. The authorized user record must have a confirmed email address.
  • Server generic. Sends email using the email configuration and "from" address for the system or company server. This option requires "Send generic" access to the Server Email resource.
To
The email address(es) to which to send the email. Separate email addresses with semi-colons.
CC
The email addresses to copy on the email. Separate email addresses with semi-colons.
BCC
The email addresses to blind copy on the email. Separate email addresses with semi-colons.
Subject
The subject line.
Text box
The body of the email.

Validation messages for the Print AR Statements wizard

The following messages may be returned in the print statements process for statements which do not pass validation:

  • The Statement Location is missing. The statement is otherwise eligible for printing, but the customer does not have a statement location assigned. The statement location determines whether a statement is delivered in print or by email. To print the statement, first assign a statement location to the payment customer on the customer record.
  • The Statement has already been printed. If you need to reprint the statement, use the Reprint AR Statements wizard.

Validation messages for the Reprint AR Statements wizard

The following messages may be returned in the reprint statements process for statements which do not pass validation:

  • The Statement Location is missing. The statement is otherwise eligible for reprinting, but the customer does not have a statement location assigned. This can occur if the statement location was removed from the customer record since the initial statement printing. The statement location determines whether a statement is delivered in print or by email. To reprint the statement, first assign a statement location to the payment customer on the customer record.
  • The Statement has not been printed. You can't reprint a statement that hasn't been printed. To print the statement, use the Print AR Statements wizard.
