Account defaults help streamline repetitive data entry when you will be entering account numbers which share common segments. You can enter segment items for the segment(s) that differ from the default, then press Tab to have ActivityHD fill in the segments which match the account default.
Example
Suppose the default account number is 1000-01-00000-A and you are creating a journal entry and need to use account 1501-02-00000-A. If you type 1501-02 and press Tab, ActivityHD will complete the account number for you.
Note
If you type a partial segment item value for a segment and press TAB, the remainder of a numeric segment is filled with 0s or the remainder of an alphanumeric segment is filled with blanks; the remaining segments are filled from the account defaults.
Every authorized user can set their own account defaults, so your default settings do not affect others and others' default settings do not affect you. You can change the account default settings as often as necessary.
There are three ways to specify account defaults:
Enter an account number or partial account number.
Enter an alias.
Enter individual segment items.
Set account defaults
In the Navigation pane, highlight the General Ledger > Chart of Accounts folder.
Click . The Account Defaults dialog box opens.
Use one of the following methods to specify account defaults:
In the Account field, select an account number or enter selected segment items.
In the Alias field, enter an account alias in order to use the associated account number for account defaults.
In the segment fields, select the segment item(s) to use as account defaults.
Click OK.
Account Defaults
The fields in this dialog box provide three ways to specify a default account: by account number, by account alias, or by individual account segments.
Note
Account defaults are set for each user, so your account defaults do not affect any other users and theirs do not affect you. You can change account defaults as often as necessary.
Account
Select the default account number or enter a partial default account number. If you enter an alias instead, ActivityHD loads the account number associated with the alias in this field. If you enter the default account number segment by segment, ActivityHD loads the selected segment items in this field as you select them.
Press F3 to look up the value.
Alias
Enter the alias of the default account. If you enter an account number or build the account defaults using segment items, ActivityHD loads the alias in this field for you (provided an alias has been specified for the resulting account number).
Description
Displays the description of the default account. If the account number does not exist, this field displays ***Invalid Account***.
Segments
For each segment, select the segment item to use for that segment in the default account. It is not necessary to specify a segment item for every segment. As you select segment items, ActivityHD loads the segment items in the Account field.
Press F3 to look up the value.
Segment item descriptions
Displays the description of the selected segment item.
